Use of Artificial Intelligence at Payne Hicks Beach LLP
Like many law firms, Payne Hicks Beach uses appropriate AI tools in order to improve the efficiency of some tasks and to enhance the services we provide to our clients. None of these tools will replace the personal care, expertise and judgement that helps set Payne Hicks Beach apart.
This note seeks to describe how Payne Hicks Beach may incorporate the use of AI tools when providing legal services to you. Should you require any further detail or have any questions relating to how we use AI in the legal work we provide to you then please do not hesitate to ask.
Payne Hicks Beach only allows use of AI tools in a way which maintains client confidentiality at all times and complies with applicable data protection laws and our regulatory requirements.
Typical tasks that may be assisted by the use of AI in the services we provide to you may include:
- researching legislation and case law;
- back-office administration;
- document reviews, analysis and chronologies; and
- transcription, recording and note taking of some calls or meetings.
Responsibility and accountability for the output of all our work, including that assisted by AI, remains with our legal teams.
Payne Hicks Beach does not send correspondence to our clients or on behalf of our clients that is generated by AI. It is important that AI tools are used in an informed, scrutinised and educated way and they are not a substitute for legal training and judgment. AI is not a substitute for the involvement, input and development of our talented lawyers. In particular, whilst AI typically may assist with certain tasks that paralegals, trainees and our most junior lawyers carry out, those colleagues provide a valuable contribution to the work we provide to clients.
You should take care when considering whether to put legal advice received from Payne Hicks Beach or any other confidential or privileged information into AI tools or allowing AI to access such information. This could result in a loss of confidentiality and/or legal privilege in the information. Payne Hicks Beach shall not be liable for any such loss should you do this.
If you send us lengthy materials generated by AI it may increase the time spent by us, and therefore the costs, of dealing with your matter. Please be transparent with us where you are providing materials generated by AI as it is important that as your legal representatives we know the origin and accuracy of all information, especially where it may be used as part of court proceedings. For example, as solicitors we have a duty not to mislead the court and others. Sometimes, participants of a meeting agree between them that the meeting may be transcribed using AI. Please be aware that where such transcript or meeting note is produced, PHB does not automatically accept its accuracy as a true reflection of what was said in that meeting.
